Job Opportunity: Administrative Assistant, Expanded Learning SChools

ExpandED Schools is a national nonprofit dedicated to closing the learning gap by increasing access to enriched education experiences. In 1998, we were founded as The After-School Corporation. In our first decade, we created the nation’s first citywide system of K-12 after-school programs and leveraged more than four dollars in private and public spending for every dollar of our founding grant. Today, we continue to reimagine learning time – in school, after school and during the summer – seeking to ensure that all kids have opportunities to discover their talents and develop their full potential. We develop scalable and sustainable models that provide more learning time. We:

  • EXPAND the school day: We add more time each day to help close the learning gap by up to 450 hours each school year.
  • ENGAGE the community: We bring additional passion, talent, child development expertise and role models into the classroom.
  • ENHANCE the learning: We balance the curriculum with the arts, movement and personalized hands-on enrichments such as robotics, book clubs, debate and salsa dance.

Position Summary:

Working with the Operations Division and reporting to the Vice President, Expanded Learning Schools, the Administrative Assistant will support the team through a range of administrative tasks, as follows:


  • Track and update programmatic and financial data-management systems ensuring accurate information is available to the entire organization
  • Work with the Vice President helping to identify priorities and maximizing of the team’s time
  • Attend internal meetings; take and disseminate notes and next steps
  • Develop and systematize document management procedures to help meet contractual obligations; maintain all required documentation for reporting purposes
  • Plan, organize and manage several events per year – including agenda development, invitation and RSVP processes and onsite logistics
  • Manage the Program Managers’ site visit calendar to ensure accurate communication across the agency
  • Book and manage team travel
  • Help to organize stakeholder visits to schools, including scheduling, managing responses and preparing materials
  • Draft and copy edit correspondence, memos, applications and other documents
  • Support organizational needs related to the Expanded Learning Schools cohort
  • Perform other duties as needed


  • Excellent organizational skills, attention to detail and ability to prioritize and to meet deadlines in a fast-paced environment
  • Demonstrated ability to analyze data and prepare analytical reports
  • Strong writing, interpersonal and communication skills
  • Previous experience in the nonprofit or educational sector a plus
  • Ability to work as part of a team
  • Fluency with Microsoft Word, Excel, and Outlook
  • B.A. required
